JBM utilizes an electronic tool, Expedition, as our management means of insuring that JBM’s construction projects are successfully carried to an on-time and on-budget completion. Use of modern electronic management tools are imperative to avoidance of costly errors:
- It enables efficient collaboration throughout the review and approval process, and allows our staff to manage / amend project costs at any stage in the construction process.
- As cost documents are created, the Cost Worksheet is instantly updated, allowing users the real-time project information needed to analyze and forecast future construction trends and make better cost management decisions.
As part of Primavera’s solution for the construction industry, Expedition also shares information with Sure Trak, allowing the user to interface and build schedule activity relationships and impacts based on the construction changes.
- The capability includes an extensive logging system to record every type of project communication, including transmittal letters, RFI’s (Requests for Information), notices, meeting minutes, phone records, notepads, project letters and correspondence, continuous control of JBM’s management obligations and responsibilities, characteristics of large commercial construction projects:
Transmittal Logs
JBM management creates automatic log entries in a Transmittal Queue. At the end of the day, we simply generate and send one letter to one contact with all the necessary items they should receive. So that everyone is on the same page. JBM’s transmittals include requisite memos or cover letters, drawings, change documents, and material samples sent during a project.
Requests For Information
Timely responses to questions submitted to management from other contractors, subcontractors, owners, and others are crucial to creating a smooth flow of construction activity. JBM utilizes our electronic Request for Information log that helps us manage every question, or request during a project. JBM’s Log records when a question was submitted, when or if it was answered, the responsible party, and the potential cost or schedule impact.
Meeting Minutes
Every project includes countless numbers of meetings to discuss progress, delays, and clarifications of specifications or designs. Our electronic capability records the details of every meeting including who attended, issues discussed, who is responsible for what actions, and when actions items are due. It is invaluable to solving disputes that naturally arise in a complex management environment.
Letter and Other Correspondences; Phone Records
JBM utilizes electronic tracking means to create, track and document incoming and outgoing correspondence. It is important to maintain records of noteworthy clarifying telephone conversations, as well as calls that refine the particulars of work identified in bid estimates.
